Decisions and actions that file themselves.
Plan Room boards give boards, committees and working groups agendas, minutes, formal votes, a conflict-of-interest register and a decision register in one place.
Good Governance Starts With Good Meeting Management.
Board governance requires more than just showing up. Proper agendas, transparent voting, conflict-of-interest declarations and a clear record of decisions are non-negotiable. Plan Room keeps them together, and minutes feed the decision register as you write them.
- Agenda builder: sections and items, drag to reorder
- Formal votes: support, oppose or abstain, anonymous if you like; a passed motion records a decision
- Conflict-of-interest register: members declare their own interests; chairs and secretaries record and close them
- Decision register per board, searchable and filtered by date and source
- Decision and Action minutes file themselves: decisions into the register, actions to their owners
- Link a recording and Claude drafts minutes against the agenda for admin approval

Everything You Need, Nothing You Don't
Agendas & Minutes
Build the agenda in sections and items and drag to reorder. Record minutes per agenda item as a note, a decision or an action.
Formal Votes
Open a vote on a motion. Members with voting rights support, oppose or abstain, anonymously if you choose. The outcome follows your board’s majority setting, and a passed motion becomes a decision.
Interest Register
Members declare their own interests with the organisation, the nature of the interest and the date. Chairs and secretaries can record them for others and close them with a reason.
Decision Register
Decisions from minutes, passed votes and approved recording drafts land in a per-board register you can search and filter by date and source.
Minutes from Recordings
Link a recording to the board meeting and Claude drafts notes, decisions and actions against its agenda. An admin approves them into the minutes.
Board Roles
Add members as Chair, Secretary, Member, Observer or Executive. Chairs and secretaries run the agenda, minutes and votes; only a chair or an org admin can appoint a chair.
